Cancellation Policy and Payments for Accommodation/Events/Dining

Please see your confirmation letter/email for details of cancellation policies and payment/refund terms associated with your reservation/booking. But please see below for the general guidelines:

  • Flexible cancellation policy – cancellation more than 48 hours prior to arrival – refund is available, less than 48 hours is not refundable or transferable.
  • Non-refundable policy – payment taken at the time of booking is no longer refundable and the reservation cannot be changed.
  • Packages are based on a maximum of two adults sharing a room, unless otherwise specified. Additional adults and children will incur a supplementary charge.
  • Non-Arrival - In the event of a non-arrival, the hotel reserves the right to charge for the unoccupied room(s).

  • All prices quoted are inclusive of VAT at the prevailing rate.

Hotel Etiquette
Hotel etiquette is important for ensuring a pleasant stay for both you and others. Here are some key guidelines to follow when staying at our hotel:

  • Be mindful of noise, particularly in hallways, elevators, and common areas.
  • The hotel reserves the right to assess acceptable levels of noise and behaviour. We will take appropriate action as necessary to ensure a comfortable environment for all guests.
  • Always be polite to hotel staff. They are there to help, and a friendly attitude can go a long way.
  • Keep the room and its furnishings in good condition. Avoid damaging furniture, linens, or any other hotel property. If something is broken or you have an issue with your room, please inform the reception desk promptly. Please don’t attempt to fix it yourself.
  • Smoking is strictly prohibited inside any part of the hotel building, including guest rooms, corridors, lobbies, restaurants, bars, meeting rooms, and spa. This policy applies to all forms of smoking, including traditional cigarettes, cigars, pipes, e-cigarettes, and vaping.
  • Please see our page for dog owners regarding our dog policy at the hotel.

Check-In/Check-Out

  • Check in is from 3:00 PM on the day of your arrival. Should you wish to arrive earlier to enjoy our facilities, we would be happy to store your luggage until your room becomes available.
  • On your day of departure, rooms must be vacated by 11:00 AM. If your room is not vacated by this time, a charge will apply. A late check-out may be arranged with reception until noon, subject to availability, and additional charges may apply.

Payment Policy

  • The hotel may request pre-authorization of credit cards or full pre-payment from debit cards upon check-in.

Accommodation

  • Unless otherwise specified, packages are based on a maximum of two adults sharing a room. Additional adults and children will incur a supplementary charge. Please contact us for more details.
  • All prices quoted are inclusive of VAT at the prevailing rate.

Damage Responsibility

  • Guests are responsible for any damage caused to public areas, allocated rooms, furnishings, utensils, or equipment. Should any damage occur, the guest will be required to pay for repairs or replacements on demand.

Service Availability

  • The hotel reserves the right to close or relocate any services due to unforeseen circumstances or pre-booked events. We will make every effort to ensure all standards and services are maintained.

KINSPA

Payments

  • Full payment is required at the time of booking for all spa packages and treatments.
  • If under 48 hours’ notice is given to cancel a booking, it is non-refundable. This means that if you cancel with less than 48 hours’ notice, you will forfeit your day. If appointments are missed, we cannot offer a replacement time or refund.

Arrival

  • To ensure you can enjoy your treatment and spa day fully, it is very important to arrive at least 15 minutes before your appointment time. We will always try to ensure you receive your full treatment time; however, late arrival may result in a reduction of treatment time. This is to ensure that other guests do not miss out on any of their treatment as a result.

Spa Facilities

  • All guests must shower before, and after using, each of the thermal suite’s facilities.
  • We have implemented strict hygiene protocols to ensure the safety of our guests.
  • Please be courteous to all other spa users and please note that loungers are not to be reserved.
  • We have a strict no-glass or alcohol policy in our thermal spa facilities.
  • Adult only facilities times are strictly 10:00-16:00. If you would like a child-free experience, please book within this time frame - We are unable to refund or amend your access time at the point of arrival, so please ensure familiarity with this policy.

Tranquillity Suite

  • The Tranquillity Suite is exclusive to treatment and Spa Day guests only.

Changing Rooms

  • For Spa Day Guests, at arrival, you will be provided with a Spa Day Schedule, where you will find an allocated locker containing your robes, towel, and flip flops for use during your day.
  • Each locker is secured by a keypad code and will be given to you on arrival.
  • For security reasons, we request that guests store all personal belongings in the provided locker and change the security code after first accessing the locker. Each locker is for day use only, any personal items left in lockers will be removed at the end of each day and placed into lost property.
  • Unfortunately, we are unable to accommodate large suitcases
  • Kinspa accepts no responsibility for loss or damage of valuables whilst on the spa premises.

What to Wear

  • Please bring your swimwear along with you for use of the Spa Facilities, and for your comfort, we require you to change into dry swimwear or underwear for the duration of your treatment.

Jewellery

  • We recommend that jewellery is not worn during your visit to the Spa facilities, or during your treatment. Jewellery should not be worn whilst using the pool and spa facilities, as the chemicals can discolour gemstones and precious metals. We accept no responsibility for loss or damage.

Food & Drink

  • For all meal bookings, the guest who has arranged the reservation is responsible for providing any dietary requirement information for the full group. As all food is made to order, we must be informed of this a minimum of 48 hours in advance of the arrival, otherwise we cannot guarantee that all dietary requirements can be catered to.
  • Drinks will be available in our Terrace Restaurant between 12 am – 3pm. Afternoon Tea and Lunch is served between 12pm - 2:30pm.
  • Guests are welcome to enjoy a cocktail in our beautiful new Oak Lounge, right next door to the Spa.
  • Guests are not permitted to bring their own food and alcoholic drinks for consumption on the spa premises.

Special Circumstances

  • Please consult our reception team if you have any health conditions - such as allergies, medical conditions, or injuries – as these may affect your treatment choice. We will be pleased to make the necessary arrangements or amendments for you.
  • If any guests with additional needs require someone to accompany them around the spa, please let a member of our reception team know in advance so that we can ensure the accommodations required can be met.

Spa Etiquette

  • We strive to ensure everyone has a relaxing time with us so please also be respectful of other spa guest’s right to privacy and serenity during your visit. The Spa environment is one of tranquillity and relaxation.
  • Within any of our relaxation areas, please try to moderate your noise so other guests are not disturbed.
  • Smoking and the use of mobile phones are strictly prohibited throughout the Spa. This policy applies to all forms of smoking, including traditional cigarettes, cigars, pipes, e-cigarettes, and vaping. Guests are not permitted to consume their own food and beverages on-site.
  • After using the facilities, we advise you to change into dry clothing, underwear or swimwear for your treatments and the remainder of your spa day. Wet swimwear is not permitted on the furniture. Spa day guests must be over 18 years old and have a valid ID.

Cancellation Policy

  • Please provide at least 48 hours notice of any appointment cancellations. Cancellations made within the required 48 hours will be charged at the full cost of the appointment.
  • Please note: full payment is required at the time of booking. Special offers are also non-refundable and non-transferable.
